Feature Highlights

✔ Use in manual mode to import files, process them and delete them with just a single mouse click
✔ Monitor SINGLE or MULTIPLE folders
✔ Use in a choice modes, manual or polling a folder every x seconds
✔ Import files from network scanners or Multifunction Peripherals (MFP)

Accessing Automatic File Import settings
Start ScanToPDF

Click the "Edit" menu and choose "Options"
Click the "Auto File Import" ICON

Operating mode TAB

Auto watch/poll at startup - Checking this option indicates that ScanToPDF should poll/watch the folder when it is started rather than using the Start Polling button on the main User Interface of ScanToPDF.

Operating mode - Choose from one of
·      Timed Interval Polling - Poll the folder every x seconds (use the Timer Interval setting below)
·      Manual mode - Process the folder when the Import From Folder button is pressed

File access elapsed time (in secs) - This instructs ScanToPDF to only process the file if it has NOT been accessed in the last x seconds. This prevents ScanToPDF trying to access files that are still being processed. Some network scanners can create a file but still be adding to it

Skip file if still failing after (in secs) - If access fails despite the access time setting above then skip the file after x seconds, this prevents the system hanging while waiting for file access

File Import TAB

Use the "Choose folder" button to enable selection of a folder.

Filter - Enter a filter e.g. *.tif, or list of filters separated by semi colon (;) to select multiple file types e.g. *.tif;*.pdf

Import subfolder(s) - Checking this option will indicate that ScanToPDF should search sub folders when importing images

Sort the files - Choose a method of sorting the files when they are imported.
·      do not sort - No sort is performed on the source files
·      by name - Sort the source files based upon their file name
·      by size - Sort the source files based upon their size
·      by creation date - Sort the source files based upon their creation date
·      by last access date - Sort the source files based upon their last access date
·      by last write date - Sort the source files based upon their last write date

Ascending order - The default sort order is Descending. Enable this option to instruct ScanToPDF to sort the files in an ascending order when they are imported.

Maximum number of file(s) to import in a single batch - Set the spinner to indicate the maximum number of files to import when importing from folder.

Advanced LINK
The advanced setting enables multiple folders to be configured in the form of settings expressed in a simple settings scripts, for example

  <Source>
    <Folder>c:\import\folder1</Folder>
    <FileCompareMode>Name</FileCompareMode>
    <Ascending>True</Ascending>
    <SubFolders>False</SubFolders>
    <Filter>*.pdf</Filter>
    <Max>1</Max>
  </Source>

To use multiple folders just repeat these settings, one for each folder, for example

  <Source>
    <Folder>c:\import\folder1</Folder>
    <FileCompareMode>Name</FileCompareMode>
    <Ascending>True</Ascending>
    <SubFolders>False</SubFolders>
    <Filter>*.pdf</Filter>
    <Max>1</Max>
  </Source>
  <Source>
    <Folder>c:\import\folder2</Folder>
    <FileCompareMode>Name</FileCompareMode>
    <Ascending>True</Ascending>
    <SubFolders>False</SubFolders>
    <Filter>*.pdf</Filter>
    <Max>1</Max>
  </Source>

File Backup
TAB - (Make a backup copy of the source files)

Copy (source) files to this folder - Enter a folder name where source files will be copied to once processed. Use this to store a copy of the imported file(s)

Auto create folder - Checking this option indicates that a new folder will be created automatically if required

Copy mode - Choose from one of
·      Make destination filename unique by appending an increment suffix if required - If the file already exists in the copy folder the filename will be changed to include an increment to make it unique, for example if processing a file called image001.tif and a file with that name had already been processed then the new file would be called image001_1.tif to make it unique
·      Overwrite destination file if already present - If the file already exists in the copy folder the file will be overwritten with the new one.

Error TAB - It is possible for input files to be corrupt. The Error settings control files that cannot be processed

Action to take on error case - Choose from one of
·      None - Take no action
·      Move file - Move the file to the folder specified (using the folder selection button "Choose folder" below). Choose auto create folder option to enable ScanToPDF to create the folder as required.
·      Delete file - Delete the file from the source folder

Action Script
Enter an action script to take in the event of an error. In this case we have used the SendMail function, which uses the SMTP plug-in to send an email, for example

{SMTPSendMail('me@oimaging.co.uk','you@oimaging.co.uk', 'Error', 'There has been an error with the file import')}

SendMail Syntax
SMTPSendMail(fromAddress, toAddress, subject, body)
